Daily workflow

Start in Obituaries and work through the day's cases there first. Once the reviews are saved, move to Emails to work through the combined district drafts in Ready.

You are not going to break the system by using it. If something needs attention, the app will guide you clearly.

Why this order matters

Saving obituary reviews first lets the Emails page combine names by district so your team can work district by district instead of case by case.

What changed recently

These updates are meant to make the daily workflow clearer and easier to manage.

  • Preferred obituary names now show more clearly during review. For example, a case can display Wayne Smith even when the obituary text says Charles "Wayne" Smith.
  • Confirming the deceased voter match now works even when the obituary does not yet have any extracted names selected.
  • The obituary review now includes a 'Note about deceased' field for internal context, and that note also appears in the print summary and email draft.
  • The Emails page now uses three workflow tabs: Ready, Waiting, and Archived.
  • After an email is sent, it now moves to Waiting instead of disappearing into archive right away.
  • If a district does not need an email, 'No action needed' archives that district without sending it.
  • Outbox cards and tab switching now behave more like the obituary workflow for a calmer, more consistent review experience.

Obituaries

This is where the review work happens.

Confirming the deceased voter match is optional. If you confirm one, the case refreshes using that voter record so the name matching can be more accurate. You can also add a note about the deceased for internal context.

  • Paste the obituary text and create the case. You can work through several cases in a row by using the 'New Obituary' button.
  • If a deceased voter match appears and you are confident it is correct, confirm it before selecting names. This refreshes the case using that voter record to improve matching.
  • Use 'Note about deceased' for internal context such as nicknames or clarifying details that staff may want to keep with the case.
  • Choose the people who should be included. Names are ordered by relevance, with same-household matches shown first.
  • Use 'Add Person' only if someone important is missing and should be included in the email.
  • Choose the service dates that should appear in the email. Please review them to make sure they are correct.
  • Save the review. This prepares the selected names for the correct district emails.
  • If an obituary does not need any district email, use Archive on the obituary after review so it leaves the active list.

Emails

This is where the sending work happens.

Think of the Emails page as a district workflow, not just an email list. Ready is work to do now. Waiting is sent work you may still need to reference. Archived is finished history.

  • Open the district email from Ready. Emails are grouped by district based on the selected voters.
  • Check the preview. It should include all selected names, obituary groupings, and any note about deceased for that district.
  • Open the summary if you need to double-check names or details.
  • Send the email. You can use the copy buttons, or choose 'Open in email app' to create a draft in Outlook.
  • After the email is sent, choose 'Mark district email as sent'. The email moves to Waiting so it stays easy to find while you wait to hear back.
  • If no district action is needed, choose 'No action needed'. This archives that district email without sending it.
  • When you are finished with a Waiting item, archive it to move it into history.

Helpful guidelines

These are the main things to keep in mind during the day.

  • Review the obituary first. Send from the Emails page second.
  • Only saved review choices appear on the Emails page.
  • If there is no voter match, assign the MLA district before saving.
  • Use Add person only when the obituary missed someone.
  • Ready is for emails that still need a decision. Waiting is for emails that were sent and may still need follow-up. Archived is for finished history.
  • If all related district emails are resolved, the obituary case finishes automatically.

Best daily routine

This is the easiest way to keep the day organized.

  • Start by scraping or creating all of the day's obituaries first.
  • Then work through each obituary and save the names and service details that should be included.
  • Once those reviews are saved, go to Emails so the system can combine names into the fewest district emails for the day.
  • Work through Ready first. After sending an email, mark that district email as sent so it moves to Waiting.
  • Use Waiting as your short-term follow-up list while you wait to hear back from the district office.
  • Archive Waiting items when they no longer need attention. Use No action needed when a district should be closed without sending.
  • When all connected district emails are resolved, the related obituary cases move out of the active list automatically.
